In this position, you will have the opportunity to:
Maintains filing systems and records using case management software.
Type and transcribe memos, letters, charts, legal documents and related correspondence for assigned staff.
Provide support to Litigation Attorneys which includes but not limited to typing & filing pleadings, scheduling depositions & filing documents and other litigation support services as needed.
Compose correspondence as required.
Answer the telephone and make calls in a professional and confidential manner.
Route telephone calls as necessary and take detailed messages.
Schedule and record all appointment dates for attorney meetings such as depositions and court hearings.
Maintain appointment calendar and inform attorney of dates.
Confirm attendance of involved parties.
Work with other secretaries and paralegals as part of a team to complete joint projects
Establish and maintain a series of files for each case or matter along with a corresponding electronic diary system.
Advise staff or management regularly regarding items requiring attention or action.
Initiate and complete routine forms required by courts, plaintiff's attorney, etc. and submits them on a timely basis.
Review other correspondence for key dates and names.
Record pertinent information and files.
Determine what mail should be referred to the attorney or to other client departments.
Process all invoices from outside counsel and ensures proper and timely payment.
Track outside counsel payments via electronic database.
Prepare check requests for settlement/court checks.
Maintain own records of all transactions.
Contact other business clients or attorneys regarding adjournments and court cases, informs clients of court dates, responds to inquiries regarding case information and coordinates case peculiarities with court personnel (scheduling of motions, adjournments, miscellaneous hearings).
Prepare internal office correspondence, legal opinions, etc. Maintain files required by attorneys.
Contact appropriate organizations as directed to obtain medical records or related documents useful to the case.
Close settled files.
Assist receptionist clerk/mail clerk as necessary.
Accept service of process of legal documents personally served at the Headquarters Office Building.
